The Agreement: These Terms & Conditions (the “Terms”) govern your access to and use of www.westintravel.com (the “Website”) and every travel-related service booked on or through it, whether online, by phone, by email, on WhatsApp, or in person at our office (together, the “Services”). The Website and the Services are operated by Westn Travel and Forex Private Limited, a company incorporated in India, doing business under the trade name “Westin Travel.” The Privacy Policy and the Refund Policy form part of these Terms and are incorporated by reference. By accessing the Website or purchasing any Service, you agree to be bound by these Terms in full.
1. Definitions
1.1. “Westin Travel,” “we,” “us,” “our” means Westn Travel and Forex Private Limited, together with its directors, employees, and affiliates.
1.2. “You,” “your,” the “User,” the “Client” means any natural or legal person who accesses the Website or purchases a Service, including every traveler on whose behalf a booking is made.
1.3. “Supplier” means any third party whose products we arrange or resell, including airlines, hotels, cruise lines, tour operators, transport providers, insurers, global distribution systems, visa application centers, and diplomatic missions.
1.4. “Booking” means any reservation or purchase of a Service made through us, and “Parties” means you and Westin Travel collectively.
2. Acceptance of These Terms
2.1. By using the Website or making a Booking, you confirm that you have read these Terms and agree to be bound by them. If you do not agree, please do not use the Website or the Services.
2.2. Specific Services (for example, a particular airfare, package, promotion, or visa category) may carry additional terms, fare rules, or supplier conditions. Those additional terms apply on top of these Terms and, where they conflict on a service-specific point, the additional terms govern that Service.
2.3. You acknowledge that we may use your personal information in the manner described in our Privacy Policy.
3. Eligibility & Booking for Others
3.1. You must be at least 18 (eighteen) years of age and legally capable of entering into a binding contract to use the Website or make a Booking. We assume no responsibility or liability for any misrepresentation of your age.
3.2. If you make a Booking on behalf of other travelers, you represent that you are authorized to accept these Terms for every person in the booking, to share their personal information with us and with Suppliers, and to receive communications on their behalf. You are responsible for passing booking details, schedule changes, and these Terms on to your co-travelers, and for the accuracy of the information you provide about them.
3.3. We reserve the right to refuse service, decline a Booking, or discontinue any Service at our sole discretion, to anyone, for any lawful reason, at any time.
4. Our Role: Agent & Intermediary
4.1. Westin Travel acts solely as an agent and intermediary between you and the Suppliers of the travel services you purchase. When you book a flight, hotel, cruise, package component, insurance policy, or visa-related service, the contract for the actual travel service is between you and the relevant Supplier. We do not own or operate any airline, hotel, cruise line, transport company, or insurance company.
4.2. Each Supplier's own terms of carriage, fare rules, policies, and conditions apply to your Booking in addition to these Terms. These are available from the Supplier or from us on request, and you are deemed to accept them when you confirm a Booking.
4.3. We are not liable for the acts, errors, omissions, representations, warranties, breaches, negligence, insolvency, schedule changes, overbookings, downgrades, or service failures of any Supplier, or for any personal injury, death, property damage, or other loss arising from a Supplier's services. Your remedy for a Supplier's failure lies against that Supplier.
4.4. To the extent permitted by applicable law, our own responsibility to you is limited to performing our agency services with reasonable care, and our liability is capped as set out in Section 22.
5. Scope of Services
5.1. Through the Website and our office we arrange the sale of flight tickets, hotel accommodation, cruises, holiday packages, travel insurance, visa assistance, and other travel-affiliated services.
5.2. We work to keep all product information, descriptions, and images as accurate as possible. However, much of this content originates with Suppliers, and we do not guarantee its accuracy or completeness. You acknowledge that you purchase Services on this basis.
6. Bookings, Quotes & Pricing
6.1. Quotes are not guarantees. Any fare, rate, or package price we quote is indicative and remains subject to change by the airline or other Supplier until the ticket is issued or the Booking is confirmed and paid for. Airfares and seat availability can change without notice; a quote does not hold a fare.
6.2. Taxes, fuel surcharges, currency fluctuations, and Supplier price revisions occurring before ticketing or confirmation may be passed on to you. We will inform you of any change before completing the Booking.
6.3. A Booking is confirmed only when we issue a written confirmation (such as an e-ticket or voucher) and receive payment as agreed. The final amount payable is shown to you before you pay.
6.4. Please review your confirmation immediately on receipt and tell us about any error the same day, so that corrections can be attempted before Supplier penalties apply.
6.5. Despite our care, the Website or a quotation may occasionally contain a typographical error, inaccuracy, or omission relating to descriptions, pricing, offers, or availability. We may correct such errors, update information, or cancel an affected Booking at any time, including after you have paid; if we cancel for this reason, we will refund the full amount you paid to us for that Booking.
6.6. We may ask you for additional information or documents before confirming a sale, and we may place reasonable additional conditions on the sale of any Service.
7. Payments, Fees & GST
7.1. You agree to pay the amounts stated for the Services you purchase. All fees and charges are shown to you before payment, and payment is due in Indian Rupees unless we agree otherwise in writing.
7.2. Payment methods. We accept bank transfer (NEFT/IMPS), UPI, and credit cards, debit cards, and net banking processed through our payment gateway partner, Razorpay. Payment instructions and beneficiary details are provided on our invoice or booking confirmation; please pay only to the account details stated there.
7.3. Full and part payment. Some Bookings require full payment before ticketing; others (such as packages or cruises) may be confirmed against a deposit or part payment with the balance due by the date stated on your invoice or booking confirmation. If a balance is not received by its due date, we may treat the Booking as canceled by you, and Supplier cancellation charges and our service charges may apply.
7.4. GST invoicing. Applicable Goods and Services Tax (GST) and other government taxes and levies are charged as shown at the time of payment. We issue a GST-compliant tax invoice for our charges. If you require the invoice in a company name or wish to claim input tax credit, provide the GSTIN and billing details at the time of booking; changes may not be possible after the invoice is issued.
8. Credit Card & Online Payment Terms
8.1. Statement descriptor. Card and online payments are collected in the name of our legal entity, and the charge on your card or bank statement will appear under the name “Westn Travel and Forex Private Limited” (or an abbreviation of it applied by your bank or the payment gateway), which is the registered company behind the trade name Westin Travel. Please recognize this descriptor before disputing a charge.
8.2. Authorized use and accurate details. You must use only payment instruments that you own or are expressly authorized to use, and you are responsible for providing accurate cardholder, billing, and contact details. You bear any loss arising from your submission of incorrect payment information.
8.3. Anti-fraud verification. To protect cardholders and ourselves, we may screen transactions and ask you to verify a payment — for example, by providing a government photo ID, the physical card (masked except the last four digits), or a signed authorization — before issuing tickets. If a payment fails our verification, or if we or the card issuer suspect that a transaction is unauthorized or fraudulent, we may withhold ticketing, cancel the Booking, and refund the amount received, and we may report the matter to the payment gateway, banks, or law-enforcement authorities.
Chargebacks
8.4. If you have a concern about a charge, contact us first at info@westintravel.com so we can resolve it, since most billing questions can be settled quickly. You agree not to raise a chargeback or payment dispute as a substitute for the cancellation and refund process in Section 10 where the Service you paid for was delivered as booked, or where a refund is already being processed under these Terms.
8.5. If a chargeback is raised in breach of Section 8.4 and the Service was validly provided, we reserve the right to contest the dispute with the card networks and banks, to recover from you the disputed amount together with any bank or gateway fees we incur, and to suspend pending Services or future Bookings until the matter is resolved. Nothing in this section limits your statutory rights or your right to raise a genuine dispute for an unauthorized or erroneous charge.
8.6. Card data entered online is processed by the payment gateway; we do not store your full card number, CVV, or online banking credentials.
9. Travel Documents & Passenger Responsibilities
9.1. It is solely your responsibility to hold, and to ensure every traveler in your Booking holds, valid travel documentation for the entire journey: a passport valid for at least 6 (six) months beyond the scheduled return date (with blank pages as required by the destination), all necessary visas and transit visas, and any health documentation, vaccination certificates, or travel authorizations required by the countries you visit or transit.
9.2. Name match. Names on Bookings must exactly match the passport (or, for domestic travel, the government photo ID) of each traveler. Verify the spelling on your confirmation immediately; name corrections after ticketing are subject to airline rules and may attract penalties or require the ticket to be canceled and reissued at current fares.
9.3. Carry your e-tickets, vouchers, and confirmations (printed or electronic) during travel; Suppliers may refuse service without them.
9.4. Entry, exit, transit, and immigration decisions rest entirely with the government authorities and carriers concerned. We are not liable for denied boarding, denied entry, offloading, detention, or any consequential loss or expense arising from missing, invalid, or insufficient documentation, or from a traveler's failure to meet immigration, customs, or health requirements. Requirements change; please reconfirm them with the relevant consulate or carrier close to your travel date, and feel free to ask us for guidance.
9.5. Travelers who are minors, or who have special documentation circumstances (for example, single-parent travel or damaged passports), may face additional Supplier or government requirements, which remain your responsibility to satisfy.
10. Cancellations, Amendments, No-Shows & Refunds
10.1. Every cancellation or amendment is governed by the fare rules and policies of the relevant Supplier, plus our own service charges, both of which vary from time to time without prior intimation and will be communicated to you when you request the change. Some fares and rates are wholly non-refundable and non-changeable.
10.2. Cancellation and amendment requests must be sent to us in writing (email to info@westintravel.com) and take effect only when our team acknowledges them. Charges are determined by the date on which we receive your written request during office hours, as set out in the Refund Policy.
10.3. No-shows. If you fail to check in or use a booked Service without canceling in advance, the Supplier's no-show rules apply and the fare or rate is typically forfeited in full.
10.4. Amendments are subject to availability and payment of any fare or rate difference, Supplier change fees, and our service charges.
10.5. Refunds. Refund amounts depend on the Service availed and are subject to airline and other Supplier terms. Certain services — including visa fees after submission — are non-refundable. Refunds are processed after the Supplier remits the amount to us, without undue delay and not later than 45 (forty-five) Business Days from verification of the refund request, as set out in the Refund Policy. We make the reimbursement using the same means of payment you used for the original transaction unless you expressly agree otherwise, and you will not incur any fees from us as a result of the reimbursement itself.
10.6. Full details, including service-wise terms, are set out in our Refund Policy, which forms part of these Terms.
11. Visa Services
11.1. Our visa services are limited to assistance and facilitation: advising on published requirements, checking documents, completing forms, and submitting applications to the relevant embassy, consulate, mission, or visa application center.
11.2. The grant or refusal of any visa, its validity, its category, and the processing time are at the sole discretion of the relevant mission or government authority. We cannot guarantee, influence, or expedite any decision, and published processing times are indicative only. Even a granted visa does not guarantee entry, which rests with immigration authorities at the border.
11.3. Visa fees, embassy charges, and service charges are non-refundable once the application has been submitted, including where the application is refused, delayed, or granted for a shorter duration than requested. Government fee changes are outside our control and may be passed on.
11.4. We are not liable for the loss of, or damage to, documents in the custody of a mission or courier, for refusal or delay of any visa, or for consequential losses such as canceled or rescheduled travel arising from a visa outcome.
Singapore visas (Authorised Visa Agent)
11.5. We are an Authorised Visa Agent (AVA) for Singapore visa applications. The charges are ₹2,100 (visa fee) plus ₹1,300 (service charge) plus applicable GST per application, and these amounts are non-refundable once the application has been submitted, regardless of the outcome.
12. Travel Insurance
12.1. We strongly recommend that every traveler purchase travel insurance covering medical emergencies, trip cancellation and interruption, baggage, and personal liability for the full duration of the trip. Some destinations and Suppliers make insurance mandatory.
12.2. Travel insurance policies we offer are issued by third-party insurers. We act only as a facilitator; the insurance contract is between you and the insurer, the policy wording governs the cover, and all claims are assessed and settled solely by the insurer. Please read the policy wording, inclusions, exclusions, and claim procedures before purchase, and contact the insurer directly for claims. We are not liable for the rejection, reduction, or delay of any claim.
13. Health, Safety & Travel Advisories
13.1. You are responsible for assessing your own fitness to travel and for obtaining medical advice, vaccinations, and medications appropriate to your itinerary.
13.2. Before and during travel, please monitor advisories issued by the Government of India and by the governments of your destination and transit countries, including health, weather, and security notices. If you choose to travel to a region under an advisory, you do so at your own risk.
13.3. You agree to comply with the laws, entry conditions, and health protocols of every country you visit and with the rules of every Supplier whose services you use.
14. Force Majeure
14.1. Neither we nor any Supplier is liable for failure or delay in performance caused by events beyond reasonable control, including acts of God, natural disasters, epidemics or pandemics, war, terrorism, riots, civil unrest, strikes and labor disputes, embargoes, acts of civil or military authorities, government or regulatory action, airspace or border closures, airline or Supplier insolvency, and failures of telecommunications or utilities.
14.2. In a force majeure event we will make reasonable efforts to assist you with rebooking or recovering amounts from Suppliers, but refunds and waivers remain subject to each Supplier's policies, and we have no obligation to refund from our own funds amounts that a Supplier does not return. We are not responsible for additional expenses, omissions, delays, or acts of any government or authority in such events.
15. License to Use the Website
15.1. Subject to these Terms, we grant you a non-exclusive, limited, non-transferable, revocable license to use the Website, the Services, and the documentation, data, and materials we make available to you (“Materials”) solely in connection with your own use of the Services. This license ends when you stop using the Website or when these Terms terminate, and any unauthorized use ends it immediately.
15.2. You agree not to collect contact information of other users from the Website, not to access any part of the Website without authorization, and not to bypass any measure we use to prevent or restrict access.
16. Acceptable Use
16.1. You agree to use the Website and Services only for lawful purposes and in a way that does not damage the Website, the Services, or our business, and not to:
16.1.1. harass, abuse, threaten, defame, or otherwise violate the legal rights of any person, or discriminate on the basis of gender, sexual orientation, religion, ethnicity, race, age, national origin, or disability;
16.1.2. infringe the intellectual-property, privacy, or publicity rights of Westin Travel or any third party;
16.1.3. upload or transmit viruses, malware, or any other code that may harm the Website or another party's property;
16.1.4. perpetrate fraud, submit false or misleading information, or use the Services for money laundering or any unlawful transaction;
16.1.5. operate or promote unlawful gambling, sweepstakes, or pyramid schemes;
16.1.6. publish or distribute obscene, defamatory, pornographic, or unlawful material, material exploiting minors, or material inciting violence, hatred, or discrimination;
16.1.7. collect, track, or unlawfully gather personal information about others, or spam, phish, spider, crawl, or scrape the Website;
16.1.8. damage, disable, overburden, or impair the Website or interfere with anyone else's use of it, or circumvent its security features;
16.1.9. reverse engineer, decompile, or disassemble any code or software on the Website, or probe or breach its security, encryption, or authentication measures; or
16.1.10. send mass or unsolicited commercial email, or harvest email addresses, using the Website or our Services.
16.2. We may, but are not obligated to, monitor, review, edit, or remove any content posted on the Website, and we may suspend or terminate your use of the Services for violating this section. You remain solely responsible for content you post; we do not control and are not liable for content posted by users, and you agree not to post content you have no right to make available.
17. Intellectual Property & User Content
17.1. The Website, the Services, and all associated copyrights, trademarks, trade secrets, patents, and other intellectual property (“Westin IP”) are and remain our property. You may not reproduce, distribute, or exploit Westin IP — including by registering confusingly similar trademarks, trade names, or URLs — without our express written permission, and you may not use it for any unlawful or infringing purpose.
17.2. For any content you publish, upload, or otherwise make available to the Website (“Your Content”), you grant us a royalty-free, non-exclusive, worldwide license to copy, display, use, broadcast, transmit, and make derivative works of it so that we can operate the Website and Services. We claim no further ownership of Your Content.
17.3. If you believe another user's post infringes your intellectual-property rights, please write to us at info@westintravel.com.
18. Third-Party Links & Content
18.1. The Website may contain links to third-party websites and services, and may display information supplied by third parties or advertisers without alteration. We do not control, endorse, or guarantee such content, and we are not responsible or liable for any loss or damage caused by your use of any third-party website, product, or service linked to or from the Website. Third-party dealings, and any disputes arising from them, are between you and the third party.
19. Communications
19.1. By using the Website or making a Booking, you consent to receive communications from us by phone, SMS, WhatsApp, email, and other electronic records — including booking updates and service messages needed to deliver the Services you have requested. Marketing communications are sent only with your consent and can be opted out of at any time, as described in our Privacy Policy. You agree that transactional communications, sent to understand and serve your requirements, will not be treated as spam or unsolicited bulk communication under any applicable law.
19.2. We may also give notice by posting on the Website. Electronic communications, including email, are valid means of notice for both Parties. Questions may be sent to info@westintravel.com.
20. Privacy
20.1. Our Privacy Policy explains what information we collect, how we use, store, and share it, and the choices available to you. By using the Website or the Services you authorize us to use your information as described there, in India and in any other country where we operate.
20.2. The Website sets no advertising cookies. It uses Google Analytics to measure site usage in aggregate (setting first-party _ga cookies), and makes third-party requests to Google Fonts and the Google Maps embed on the contact page, all as described in our Privacy Policy. Our hosting provider keeps standard server logs (such as IP address and pages requested) for security and diagnostics. You can disable cookies in your browser or use Google’s opt-out add-on if you prefer to limit this collection.
21. Disclaimer of Warranties
21.1. Your use of the Website and Services is at your sole risk. The Website, the Services, and all information, software, products, and related graphics on the Website are provided on an “as is” and “as available” basis, without warranties of any kind, express or implied — including implied warranties of merchantability, fitness for a particular purpose, title, and non-infringement, and warranties arising from course of dealing or trade usage.
21.2. We make no representation about the suitability of the information, software, products, or services on the Website for any purpose, and their inclusion does not constitute an endorsement or recommendation. We do not warrant that the Website will be uninterrupted, timely, secure, defect-free, or error-free, or that information on it — including content from Suppliers, third parties, or advertisers — is accurate, current, complete, or useful. It is your responsibility to ensure that any product, service, or information you obtain through the Website meets your specific requirements.
21.3. We undertake no obligation to update, amend, or clarify information on the Website except as required by law, and no stated update date should be taken to mean that all information has been refreshed. Typographical errors, inaccuracies, and omissions may be corrected, and affected orders canceled, as described in Section 6.5.
21.4. While we take reasonable steps to safeguard the Website, we cannot guarantee that it, or information you provide, cannot be accessed by unauthorized third parties. We are not responsible for unauthorized access to or alteration of your transmissions or data, for material sent or received (or not sent or received), for transactions entered into through the Website by unauthorized parties, or for loss or damage arising from hacking or from spam or messages sent by unauthorized third parties in the Website's name. You are solely responsible for damage to your computer system or loss of data resulting from downloading any material, and for the security of your own account and content.
21.5. We are not responsible for interactions between you and other users of the Website or any third parties, are under no obligation to become involved in such disputes, and are not liable for the content or conduct of any third party, including threatening, defamatory, obscene, offensive, or illegal content or infringement of another's rights. You release us from claims, demands, and damages arising out of such disputes. Some jurisdictions do not allow the exclusion of certain warranties, so some of the above exclusions may not apply to you.
22. Limitation of Liability
22.1. To the fullest extent permitted by law, in no event are we liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, revenues, data, or use, arising out of or connected with the Website, the Services, delay or inability to use them, or any information, products, or services obtained through them — whether the claim is based on contract, tort, negligence, strict liability, or otherwise, and even if we have been advised of the possibility of such damages.
22.2. Consistent with our role as agent (Section 4), claims arising from the performance or non-performance of a travel service lie against the relevant Supplier. To the extent permitted by law, our aggregate liability arising out of or relating to any Booking is limited to the service fee or service charges earned by us on that Booking, and in no event exceeds the amount you paid to us in connection with the relevant transaction.
22.3. For any claim not connected with a specific Booking, our maximum aggregate liability is limited to the lesser of ₹1,000 (Rupees One Thousand) or the total amounts you paid to us in the 6 (six) months preceding the event giving rise to the claim.
22.4. If you are dissatisfied with the Website or the Services, or do not agree with these Terms, your exclusive remedy with respect to the Website is to stop using it. Nothing in these Terms excludes liability that cannot be excluded under applicable law.
23. Indemnification
23.1. You agree to defend, indemnify, and hold harmless Westin Travel and its affiliates from and against all claims, demands, liabilities, and expenses, including reasonable attorney's fees, arising from or relating to: your use or misuse of the Website or Services; your breach of these Terms; your violation of any law or of any Supplier's terms; content you submit; your conduct or actions; and actions taken by any person you authorize to use your account, including through disclosure of passwords. We may select our own legal counsel and participate in our own defense at our discretion.
24. Term, Termination & Service Interruptions
24.1. We may suspend or terminate these Terms, or your access to the Website and Services, at any time, with or without cause — including for violation of these Terms, infringement of intellectual-property rights, failure to comply with law, or publication of illegal material. If you hold an account with us, you may terminate at any time by contacting us; fees outstanding at termination remain payable. Provisions that by their nature should survive termination (including Sections 4, 8, 10, 21, 22, 23, and 27) survive.
24.2. Access to the Website may be interrupted for scheduled or emergency maintenance or by unanticipated downtime. We are not liable for loss or damage caused by such interruptions.
25. Modifications to These Terms
25.1. We may modify these Terms at any time without prior notice to you. Modifications take effect immediately on posting to the Website and replace all prior versions except where a prior version is expressly incorporated. Please check this page and its “Last updated” date periodically (clearing your browser cache to avoid seeing an outdated copy). Your continued use of the Website or Services after a modification constitutes your acceptance of the modified Terms, and failure to review modifications is a waiver of your right to review them.
25.2. If any modification is held ineffective or invalid by a court, the prior effective version of the affected provision remains enforceable to the fullest extent.
26. General Provisions
26.1. Entire agreement. These Terms, together with the policies incorporated by reference and any service-specific terms, constitute the entire understanding between the Parties regarding the Website and the Services and supersede all prior or contemporaneous agreements, written or oral, on that subject.
26.2. Severability. If any part of these Terms is held invalid or unenforceable, the remainder continues in full force and will be enforced to the maximum extent possible.
26.3. No waiver. Our failure to enforce any provision is not a waiver of that provision or of any other, now or in the future.
26.4. Assignment. You may not assign, sell, lease, or transfer these Terms or your rights under them. We may assign or transfer our rights and obligations, and they will bind and inure to our successors, assignees, administrators, and executors.
26.5. Headings. Headings are for convenience only and do not affect the meaning of any provision.
26.6. No agency between the Parties. These Terms create no partnership, joint venture, employment, or agency relationship between you and us, and neither Party may bind the other to third parties. (Our role as booking agent for Suppliers under Section 4 is unaffected.)
26.7. Language. All communications and notices under these Terms shall be in English.
27. Governing Law & Jurisdiction
27.1. These Terms, and any dispute of any kind between you and us relating to or arising out of them or the Website or Services, are governed by the laws of India, excluding its conflict-of-law provisions. The Parties submit to the exclusive jurisdiction of the courts at Hyderabad, Telangana, India. This choice of law, venue, and jurisdiction is mandatory and not permissive, and you waive any objection to venue, including under the doctrine of forum non conveniens or any similar doctrine.

28.3. The Grievance Officer will acknowledge your complaint within 48 (forty-eight) hours and endeavor to redress it within 1 (one) month of receipt.
